Financial Terms

By checking this box I certify that I agree to the financial terms of this contract. I understand that if I fail to complete payment by the day before the beginning of the event, the BWSQ may not perform at the event. I understand that on the occurrence of such an event, I will not receive a refund should that occur. Any changes will be communicated in writing (email or text message) with BWSQ directly and will not be reflected in this contract.

The parties agree that the booking fee for the engagement is listed above as the “Total Booking Fee” and that 50% of the entire booking fee listed as “Total Deposit Due Now” will be due before your event is officially on the calendar.

Any remaining fees (to include but not limited to the travel fee that will be sent to you as an invoice upon booking) must be paid in full at least one day prior to the beginning of the engagement. The
ensemble reserves the right to decline to appear at the event should the fee not be paid in full by the deadline.

If you booked an event on a major holiday or during a major holiday weekend there are no refunds. Any other bookings, the deposit will be eligible for a full refund until 30 days before the event. There is no refund within 30 days before the event.

BWSQ Major Holiday Considerations are:

  • New Year’s Day (January 1)
  • Memorial Day (Last Monday in May)
  • Independence Day (July 4)
  • Labor Day (First Monday in September)
  • Thanksgiving Day (Fourth Thursday in November)
  • Christmas Day (December 25)

 

All payments made to BWSQ will include the credit card processing fee according to the credit card processor and will be listed on any invoice received for payment.

Overtime Terms

By checking this box I agree to pay any overtime charges as requested after the wedding within one week of the request

Any overtime requested will be accommodated at the discretion of the musicians, and be charged at $75 per half hour (or fraction thereof) per musician. Overtime payments must be made within 1 week after the end of the performance period.

Logistics Terms

By checking here I certify that I understand that if I fail to provide the special considerations laid out above the BWSQ will either leave my event without completing the contracted time and I will not receive a refund or they will provide their own, ugly, shade/weather protection in order to protect themselves and their expensive instruments. I also understand that if the BWSQ must deploy their own shade/weather protection that I will be required to pay a $200 fee.

The musicians will bring music stands and “concert” attire (all black for men and women) will be worn unless otherwise specified. Chairs without armrests must be provided by the hosts of the event unless agreed upon at the time of booking.

Should part or the entire event be scheduled to take place outdoors, the musicians reserve the right to determine, at the event, if the weather conditions are suitable for performing outdoors. Please note that our instruments and other equipment cannot be exposed to direct sunlight, rain or snow. Adequate shade and protection must be provided.

If shade and/or protection is not adequately provided, the BWSQ will either stop playing and seek shade and/or weather protection or install their own shade/protection. It is not attractive. Do not rely on our backup shade and weather protection in lieu of meeting the conditions of this agreement by providing shade and weather protection. It will not be moved for pictures or any other reason and you will be billed a fee of $200.

The BWSQ will not perform in any temperature cooler than 58 degrees Fahrenheit without adequate heating (e.g., patio heater, fire, etc) to bring it up to or over that. This is to protect our instruments and our fingers. If the temperature drops below 58 degrees for more than 5 minutes the BWSQ will cease playing and move to warmer conditions as close by as possible.

The quartet will require a 10’x10’ area to play. This is to ensure that our instruments and players do not get accidentally bumped by guests and that we have enough room to play well for your event.

Music Requests Consent

By checking this box I understand and accept that if I do not have special request music choices at least 3 weeks before the event my special requests may not be accommodated and I will need to either choose pieces from the BWSQ Repertoire List or they will choose for me. Any special music requests and specific set list but be submitted no later than 3 weeks before (see date above) the event to accommodate finding and preparing the repertoire.

Any additional songs above and beyond those included in your chosen package will require an additional charge as stated above due at the time of the request or with the deposit whichever is most convenient for the requestor.

All music requests for the event shall be submitted in writing (text message or email) to the quartet contact listed above. Song requests must be agreed upon by both parties – if a song request will not sound well with a string quartet arrangement you will be notified and can be worked around accordingly.

By electronically signing this form, you acknowledge and agree that:

Consent to use electronic records: You consent to use electronic records for the completion of this transaction, and understand that your signature indicates your consent to the terms outlined in this document.

Accuracy of information: You confirm that the information provided is accurate and complete to the best of your knowledge.

Legally binding agreement: By signing this form electronically, you agree to be bound by the terms and conditions contained in this agreement, and acknowledge that you have the legal right to sign it.

Revocation or withdrawal: You understand that revocation or withdrawal of consent may be subject to specific terms in the document or agreement, and that such actions may not affect the enforceability of actions taken before such revocation.
